Is Editing a Document Enough? | WritePoint Blog

I can?t tell you how many times a company has come to me and said they have an editing job for us. The content is there, they explain, it?s just a matter of editing it. Last week, ?a client came with this exact comment. Now, there are times when the client genuinely means this. Editing IS enough.

Perhaps it is an internal document ? one that will be passed around within the company. The expected audience knows the industry, knows the product, etc. In this case, the client simply wants to have a well written, nicely formatted document containing specific information (not more, not less). In many cases, the document will be distributed to global branches and, quite honestly, the local Israeli branch does not want to be embarrassed by spelling mistakes and bad grammar.

Very intelligent people wrote the document. If I could speak and write in Hebrew as well as they can speak and write in English, I would be eternally grateful. But still, there are mistakes that need to be corrected ? more based on the cultural understanding of the use of words than a lack of forethought on the part of the writer.

One example ? an engineer we work with would write, ?The user shall?? and I would change it to ?The user can?? ? Finally, the engineer asked me what was wrong with the word ?shall? and why I kept changing it? I answered, ?God shall; the rest of us can.? It?s a cultural thing; not something he should have known and so he was grateful for my corrections.

So, last week, once again, a client said ?just edit.? But this time, it became clear that the intended audience was not internal, and the holes in the document were more severe than the client realized. While they had most of the procedures, they were missing the explanations that a user would need to know when to use the procedure. Missing was the workflow ? the logic behind the way the user would use the product. Screen captures were poorly used and the quality was seriously lacking. In short, what they needed was not editing but more; what they had was a good resource document, even an excellent one. But what they did not have was a document that could easily be edited into a document for their end-users.

Being a technical writer is more than just writing words. It?s about understanding what information a user needs and, perhaps equally important, what information a user does not need. It?s about using the documentation tools we have effectively to save time and it?s about understanding the product to an extremely high level. We take the knowledge of the developer, the positioning of the marketing department, and the needs of the user and pull it all together to create a document that enhances the companies offering and helps the end-user.

Editing is an important skill. As technical writers, we must edit our own work as diligently as we edit the documents that others have written. I once had a technical writer explain that he didn?t proofread the document because he didn?t realize that checking spelling was part of the process. He didn?t realize I was serious when I had specified that the candidate I hired must be an amazing editor.?I was serious ? then and now.

Editing is a critical skill to have. Part of editing is knowing when to edit and when to rewrite; when to leave the style of the writer intact and when to go back to the client/employer and explain that key elements of the document are missing.

Is editing a document enough? Sometimes it is ? and sometimes it is not. After explaining to the client what was missing ? they budgeted a few more hours, gave us access to the developer, and ended up with a professional document they could send to their users. ?The user ended up with a document that will explain how to use their product and what they can accomplish with it; and we ended up with tremendous satisfaction knowing that we once again, the client listened and appreciated our input.

So, once again, life is good as technical writers in Israel!

German jobless numbers tick up in August

BERLIN (AP) ? The number of Germans without jobs ticked up in August amid growing signs the European financial crisis is taking its toll on the region's largest economy, the Federal Labor Agency reported Thursday.

Some 29,000 more Germans were out of work in August over July, raising the jobless total to more than 2.9 million. When adjusted for seasonal factors, the number of jobless rose by 9,000.

Both the adjusted and unadjusted unemployment rates remained unchanged at 6.8 percent, the agency said.

Germany has been counting on domestic consumption to help offset weakening exports within the eurozone, where several countries are in recession.

But the new figures raise concerns about consumer spending, said Carsten Brzeski, an economist with ING in Brussels, who noted that the rise in jobless was the highest August increase since 1993.

"The strong labor market has been one of the main drivers of German growth in the first half of the year," he said in a research note. "Looking ahead, however, it is doubtful whether private consumption can really take over the baton as main growth driver for the German economy ? today's numbers provide further evidence that the labor market is gradually losing steam."

Economists have been warning that the debt crisis in the 17-country eurozone could eventually catch up with Germany. The country's economy has over the past few years done better than the currency union as a whole, which is struggling with a crisis over too much government debt and recessions in several countries.

Following two years of strong economic growth, the German economy grew by only 0.3 percent in the second quarter. Still, unemployment remains low, in sharp contrast with rates of more than 20 percent in Spain and Greece, which are both in recessions.

10 Things I like About Change Management | Horizontal Change ...

I keep getting asked, usually after explaining some difficulty around change, why I like this career.

Here are ten reasons in no particular order:

  1. People.

    Change needs people. Change needs people?s talent and expertise. To change requires the effort of both individuals and individuals coming together. People can stick together like glue for some things. People can repel each other and good ideas to about the same degree. It is challenging and fascinating to try to figure people out and find that stickiness.

  2. Business.

    Change for business can take on many flavors- M & A, technology adoption, organizational redesign, cultural tweaking, new leadership, structural redo?s and more. Business is influenced by so many things both internal and external. Anticipating them and ?managing them? is 50% of the change equation. This flavorful combination, tasted over a career, keeps me coming back for more.

  3. Potential.

    There is so much more possibility in organizations on both the people and the business side. One engagement is often the chance to reveal potential for the next. Change practitioners get to assess the past, enjoy the process of the present and plan for the future.

  4. The Journey.

    Admittedly the journey is often the most difficult part of change. Difficulty equals challenge. This is a challenging career.

  5. Beginnings.

    This is number one, really. Beginnings have so much possibility. Change should be all about possibility.

  6. Simple Tasks.

    Sometimes organizational change is so big, broad and all encompassing that the simple tasks on the way to the end state become the most enjoyable part of the role of a change practitioner.

  7. Learning.

    Seems to happen every day of a change engagement. It might be the real learning of figuring out a technology in order to better guide leadership to end state descriptions. Other days it is the learning the comes with watching and guiding individuals and the group to new skill and profit.

  8. Time.

    Different practitioners are drawn to change management for different reasons. Some want a better connection to people (there are a lot of former engineers- previously immersed in the role of an individual contributor- now practicing CM). Some like to organize and attempt to control things (and possibly people), those practitioners do well in the middle of the organization on projects doing Tactical Change. For me it is a fascination with time. Changes tweak time for organizations. As an external I get to see and address time.

  9. Celebration.

    This part gets skipped a lot in the turmoil of change. When the end state is reached that is an obvious time for celebration. Along the way for important milestones too. Little celebrations are typically forgotten- bring in a change practitioner to make sure celebration is not missed (and happens more than once).

  10. End States.

    If you get there, and, of course, you never really do. The closer you get though, the better our previous 9 become (the next time around!).

Ten things I like about this career, to answer those who keep asking: people, business, potential, the journey, beginnings, simple tasks, learning, time celebration and getting to end states.

Sri Lanka says oil spill 'contained'

An oil slick from a sunken cargo vessel has been contained and is no longer a threat to beach resorts popular with foreign tourists, Sri Lankan authorities declared on Sunday.

The rusting ship went down in bad weather on Thursday night outside a Colombo harbour and had threatened a 50-kilometre (30-mile) stretch of coastline including resorts at Mount Lavinia and Negombo.

The spill -- which was about 10 kilometres (six miles) long -- had reached the shores of the capital Colombo.

"We have contained the remaining oil slick and chemicals are being used to get rid of it," Coast Conservation Department chief Anil Premarathne told AFP, cautioning: "We would remain vigilant for a few days more."

The Disaster Management Centre (DMC) said volunteers, including security personnel, had cleaned up thin layers of furnace oil which washed ashore in several places on Saturday in and around the capital.

"The environmental damage is much less than what was initially feared," DMC director Sarath Kumara told AFP. "The worst is over and the leaks from the sunken ship have stopped."

Foreign holiday makers were seen in the sea at Mount Lavinia and Negombo, just outside the capital, on Sunday. Neither resort had been affected.

The 15,000-tonne Thmothrmopolyseara, a Cyprus-flagged carrier, had been outside the Colombo harbour since 2009 following a dispute over its cargo of steel, local officials said.

The vessel had been detained by Sri Lankan courts following litigation over the cargo valued at over $300 million, according to local media reports.

Moments of Reflection: What what what?..is that on your head ...

My very first lead in the whole world history of Doris?.yup I got it right, look at what?s on my head!

When I first started climbing outdoors, I bought the starter gear everyone gets, a harness, shoes, a couple beaners and slings and a helmet.

As I start our journey up pitches in Villanueva de Rosario, look at what?s on my head!

I surely brought my helmet to the crag just about every time?..but for DECORATION because I never wore it. ?Every time I put my pack in the trunk of my car, I would say ?oh there?s my helmet and I forgot, next time I will wear it??.how shameful! ?And when I climb trad or multi-pitch, I never miss that helmet, it is on my head no matter what!

With that in mind, I decided to write up a blog post on the need to wear a helmet whilst climbing rather than just adorn your crag pack (like I always did!). ?Why? ?Well I know this is so simple, but really?lets meditate on this thought?helmets protect our heads.

Over 21% of traumatic brain injuries occur whilst engaged in sports and recreation (note this is not exclusive to climbing).

?

When we climb, we want to have fun, get a great workout, achieve new heights, rise above challenges and fears and so on.

But despite all the wonderful things we gain from climbing, it is dangerous. ?There are many things we can do to stay safe while climbing and one of many important climbing safety tips is wearing a helmet. ?We are in areas where rocks can fall and potentially hit our heads and whether we are top roping or leading, or a super duper advanced climber, it is hard to predict running or slamming into rock when we fall.

So why write this now? ?I just climbed in Utah and was leading a warm-up with my helmet on. ?I was unusually tired from the altitude, so I down climbed and took a small fall. ?I was a gymnast and known for taking the most calculated, safe lead falls. ?But even this Cirque de Soleil acrobatic climber under calculated the length of my fall and swung under a roof and bang, the top of my head just hit the edge. ?I was fortunate?.I was wearing a helmet?.because for certain, given the impact, I would not be here writing this post, promise me, with two trauma surgeons in our presence (one belaying me), when I came down, we all agreed it was a blessing I had a helmet on.

My personal affirmation after the Utah trip was??.I will always wear my helmet, even if it gives me a not so cute helmet head hairdo, even though it makes me hot and sweaty in the head, even though it sometimes feels like more weight and in the way and less free?.whatever the ?inconvenience?, I chose to keep my head intact and healthy, at least try!
